> This document requires review by qualified legal counsel before publication. It is a template, not legal advice.

## Purpose

This policy establishes consistent expectations for employees who work remotely, whether full-time or on a hybrid schedule. It ensures that remote work arrangements support both individual productivity and team collaboration while maintaining compliance with applicable employment and tax regulations.

## Scope

- **Included**: Full-time employees and part-time employees working 20 or more hours per week who have completed their 90-day onboarding period.
- **Excluded**: Contractors, interns, and employees in roles designated as on-site only (see Appendix A for the on-site role list).
- **Geographic note**: Employees working from a state or country different from their hiring location must obtain written approval from People Operations before relocating. Tax and employment law implications vary by jurisdiction.

## Policy Details

**4.1 Eligibility**
Employees are eligible for remote work if their role does not require daily physical presence at a company facility. Managers approve remote work arrangements based on role requirements, team needs, and individual performance. Approval may be revisited at any time if business needs change.

**4.2 Work Schedule and Availability**
Remote employees must be available during core collaboration hours: 10:00 AM to 3:00 PM in their local time zone, Monday through Friday. Outside of core hours, employees may set their own schedule in coordination with their manager. Employees must keep their calendar up to date and respond to messages within 2 business hours during core hours.

**4.3 Workspace and Equipment**
The company provides a laptop, monitor, and a one-time $500 home office stipend for ergonomic setup. Employees must maintain a workspace with reliable internet (minimum 25 Mbps), a quiet environment suitable for video calls, and a locking mechanism for devices containing company data.

**4.4 Communication Expectations**
Remote employees must join all scheduled team meetings via video with camera on, unless an exception is agreed with their manager. Asynchronous communication is the default for non-urgent matters. Use Slack for quick questions, Linear for task tracking, and Notion for long-form documentation.

**4.5 Information Security**
Employees must use the company VPN when accessing internal systems. Company devices must have full-disk encryption enabled. Work on company data in public spaces (cafes, coworking) requires a privacy screen. Violations are handled per the Information Security Policy.

## Procedures

**How to request a remote work arrangement:**
1. Submit a Remote Work Request form in Workday (HR > Requests > Remote Work).
2. Your manager reviews and responds within 5 business days.
3. If approved, People Operations sends a confirmation email with any jurisdiction-specific addenda.

**How to report a relocation:**
1. Notify People Operations at least 30 days before relocating to a different state or country.
2. People Ops assesses tax, benefits, and compliance implications within 10 business days.
3. Relocation is approved or denied in writing. Do not relocate before receiving written approval.

## Frequently Asked Questions

**Q: Can I work from another country temporarily while traveling?**
A: Short-term international work (under 30 days) may be permitted with manager and People Ops approval. Submit the request at least 14 days in advance. See clause 4.2 regarding core hours — time zone feasibility is a factor.

**Q: What if my internet goes down during work hours?**
A: Notify your manager via Slack or text. If the outage will last more than 2 hours, use a mobile hotspot or relocate to a place with connectivity. Persistent connectivity issues may require revisiting the remote arrangement.

**Q: Is the home office stipend recurring?**
A: The $500 stipend is a one-time benefit upon approval of the remote arrangement. Replacement equipment follows the standard IT asset request process.
